A customer’s inquiry in, a draft quote out
Quote Desk is a free RFQ automation tool by Przemysław Zalewski, an independent engineer. Drop an inquiry as it arrives (email, PDF, Excel or a photo of a handwritten list). Every line is matched to your price list, unclear ones are flagged, and you export the quote to Excel.
Example: a handwritten list from a customer
A photo of a handwritten list from the test set, against a sample price list of an electrical and plumbing wholesaler. Every line below is what the model returned, unedited.

How it works
Your price list
Excel, CSV or pasted from your system: code, name, unit and price. Up to 300 products on the free plan.
The inquiry as it came
Paste the email, drop a PDF, a spreadsheet or a photo. Polish, English and German, with trade slang and typos.
Check and export
Lines the model is sure about are ready. Unclear ones say why. Change anything, then export to Excel or print to PDF.
Measured on a test set
The test set is synthetic: 20 inquiries to an electrical and plumbing wholesaler written the way customers write (emails with quoted threads, PDF tables, spreadsheets, handwritten lists, three languages). The six lines it did not match were truly ambiguous, such as “junction box 60” without a type. Your own inquiries are the real test, and the app shows your own hit rate as you correct lines.
What happens to your documents
- The file goes to the model (Claude by Anthropic, through Cloudflare) only to be read. Quote Desk does not store it.
- The extracted lines are kept for 30 days so you can come back to them, then deleted. You can delete them, or your whole account, at any time. Only a hashed usage counter stays for 62 days, so the monthly limit survives deleting and recreating an account.
- Your price list stays in your account until you replace or delete it.
Want it inside your mailbox and your ERP?
The free tool stops at a draft you export. The next step is mine to build: inquiries read straight from your mailbox, prices and stock from your ERP, price requests sent to suppliers, the quote created where you create quotes today. I start with a pilot on 30 to 50 of your real inquiries, so you see the hit rate on your documents before deciding.
Questions
Is it really free?
Yes: 30 inquiries a month and a price list of up to 300 products. It is how I show what I build. Larger price lists and integrations are a project I quote separately.
Does it send anything to my customers?
No. It prepares a draft. A person checks it and sends it from their own mailbox.
My price list has thousands of products.
Then it needs a search step before the model, which is part of an integration. Start with your 300 most quoted products, or ask for a pilot.
Which documents work?
Pasted email text, PDF, Excel (XLSX, CSV) and photos or scans (JPG, PNG). Word files: paste the text.
How is it different from ChatGPT or a CPQ module?
A general chatbot can read a list too, but you paste your price list every time and it may invent a product code. Quote Desk keeps your price list, returns only codes that exist in it and flags the lines it is unsure about. CPQ tools and ERP quoting modules build a quote from data someone already typed in; they do not read a customer’s photo or PDF. The free version stops at an Excel export, with no ERP connection.
